Client Coordinator -Bilingual (English/Spanish)

We are looking for a unique individual who shares our vision to join the FVF team as a Client Coordinator. The ideal person is self-motivated with strong collaborative skills who can balance and prioritize a variety of tasks, is detail oriented, and is naturally compassionate with a desire to help others. Fluency in Spanish is required, as this role may require you to interact with our Spanish-speaking clients and potential clients. As an important part of FVF Law, you will be setting up new client case files, handling time sensitive tasks, overseeing our medical records and assisting with other projects as assigned.  As with all our employees, the Client Coordinator will be expected to maintain a high level of respect, dignity and confidentiality of information collected.

This is a full-time position in Austin, Texas that will initially be in-office during a probationary period and will then transition to a hybrid arrangement with a 40/60 split.  It’s important that you be able to work independently, proactively, and as part of a team.  Training will be provided.

Responsibilities and Essential Functions (including but not limited to):

  • Setting up new case files and updating case management system with client information and documentation gathered during the onboarding process.
  • Collect necessary documentation from clients, including medical records, incident reports, and insurance information. Ensure that all collected documents are complete and organized for further processing.
  • Verify and validate the accuracy of client details to ensure all records are up to date.
  • Communicate with the attorneys and paralegals as well as the Intake team on status of the file.
  • Interact with insurance companies to set up claims and respond to calls.
  • Draft and send out appropriate letters, including letters of representation and evidence preservation letters.
  • Ordering and maintaining medical and billing records and reviewing their corresponding affidavits for accuracy. 
  • Follow up on tasks including responses to Letters of Representation and Client Documents.
  • Assist the intake team when needed with our Spanish speaking potential clients.
  • Complete a variety of assigned tasks to help update and maintain our case management system.

Qualifications and Skills:

  • Minimum three years’ experience interacting with medical offices and/or insurance companies preferred.
  • Bilingual in Spanish required.
  • Compassionate, caring with great communication and phone skills.
  • Customer care oriented and good team player. 
  • Ability to prioritize and juggle a variety of tasks.
  • The ability to work independently.
  • Proficient in drafting professional correspondences.
  • A history of performance in a customer facing role.
  • Detailed oriented
  • Background in personal injury is a plus.
  • Experience with Filevine is a plus.

Benefits and Compensation:

Salary: $55,000 – $60,000 for a well-qualified candidate.

We cover medical, vision and dental insurance, offer 3 months of paid family leave, have a 401K program and short- and long-term disability insurance.  New employees are eligible for 10 vacation days and 10 sick days per year as well as paid company holidays.
